Position: Facilities Officer
Division: Facilities Management
Location: Takoradi
Reporting To: Head of Facilities Management
Position Purpose
Responsible for the management of the facilities of the Property. Develops related budgets, procures services, handles third party service contracts, and directs maintenance procedures. Ensures that all buildings, grounds, and equipment are well maintained and in optimal working condition ensuring that all operations are in accordance with established health and safety regulations. Keeps management well informed of area activities and significant problems.
Summary Responsibilities
1. Assumes responsibility for the effective operations management of
Property and facilities.
· Asset Management
a. Implements regular preventative maintenance program in line with budget constraints
b. Motivate refurbishments, major repairs as appropriate
c. Monitor and report on progress
d. Ensures that Building operations are in compliance with established procedures, policies, regulations and codes.
. Reporting, Planning and Budgeting
a. Preparation and completion of annual operationals budget
b. Monthly Reports on Operational activities including expenses.
. Building Management
a. Ensure that all buildings and grounds are well maintained and that equipment are in optimal working condition.
b. Identify and perform daily repair and maintenance issues
c. Respond promptly and efficiently to clients' maintenance requirements
d. Ensure compliance with legal regulations. Complete regular health & safety inspections and update monthly reports as appropriate. Ensure that health & safety requirements are effectively implemented.
2. Assumes responsibility for the effective operations management of building and facilities.
a. Liaises with occupants with regards to operational problems.
b. Conducts periodic inspection of facilities, assess problems and needs, and implements improvements in operations as appropriate.
c. Coordinates maintenance activities. Ensures that facilities are clean, well maintained, and in good repairs. Directs preventive maintenance procedures as appropriate.
3. Assumes responsibility for ensuring the efficient and cost-effective administration of building operations.
a. Carry out daily inspection of the building and report on all building defects identified or shoddy work performed by service providers.
b. Ensures that facilities operations are cost effective, efficient and within established budget constraints.
c. Ensures that all maintenance agreements are current.
4. Assumes responsibility for ensuring professional business relations with vendors, contractors and trade professionals.
a. Supervise the work of all service providers e.g. janitors, security guards as well as artisans like plumbers, electricians, masons, painters who work on site
b. Promotes goodwill and a positive image of the company.
5. Assumes responsibility for related duties as required or assigned.
b. Completes special projects as assigned.
c. Ensures that work area is clean, secure and well maintained.
Required Skills
Excellent understanding of Building Management procedures.
Knowledge of budgeting, service contracts etc.
Education Qualification
A degree in Facility Management or Engineering and related maintenance and facility management training.
Work experience
Three or more years of related experience, with at least one or more years of Supervisory experience.
