Job Title: Finance Manager
Report to: General Manager
Job Summary
As a Finance Manager, you will be responsible for all financial and accounting requirements of BBI. You will also be responsible and accountable for providing financial planning and analysis in a pro-active, cooperative style for BBI.
Job Description
In the discharge of your duties, the following will be required of you:
a. As the Finance Manager, you shall be responsible for the efficient day-to-day running of all accounting and financial requirements of Black Buffalo International.
b. Working with high standards of ethics, initiative, responsibility, economy and sense of pride and belonging.
c. Co-ordination and co-operation with other colleagues in the Company and with Black Buffalo International staff/workers and service providers.
d. Maintain a good relationship between the project and all members of the Accounts team and ensure timely and effective communication between the two bodies are cultivated and enhanced to positive effect;
e. Take an active, specific and leadership role in assisting in the planning of production schedules; Specific Responsibilities for Accounts/Finance
a. Develop and maintain accounting procedures that ensure accurate and timely preparation of company financial statements
b. Ensure that purchases and payments are made in accordance to acceptable practices.
c. Supervise the work done at the accounting unit of the company.
d. Prepare historical financial statements including income statement, balance sheet and cash flow. Submittal of documents to Founder/CEO, financials advisors and banks, as needed.
e. Prepare monthly, quarterly and annual financial projections including income statement, balance sheet and cash flow. Submittal of documents to Founder/CEO staff, financials advisors and banks, as needed.
f. Plan and monitor the annual auditing process for the finances of Black Buffalo International, to be carried out by external auditors.
g. Manage all accounts receivable and accounts payable. Ensure the preparation of invoices for goods shipped and verify payments received. Assist in the process of debt collection where needed.
h. Prepare monthly bank reconciliations.
i. Manage all aspects of inventory including planning, execution and reconciliation of physical counts
j. Manage all aspects of petty cash.
k. Ensure the proper back-up and security of all accounting files and documents.
l. With other management team members vet and carry out procurements for the Company as required by management.
m. Assist in the development and implementation of effective internal control systems
n. Research and recommend banking options to management. Maintain banking relationships.
o. Manage the payroll system and ensure timely payment of staff salaries.
p. Ensure that all taxes, SSNIT contributions/payments and other operational fees are paid to the respective government agencies in the course of the year.
q. Advise management on financial issues and other tax related activities.
r. Monitor cash balances and notify management for cash transfers per need basis to ensure that payment to staff and other service providers are made on time.
s. Generate weekly expenditure reports to management.
t. Generate weekly production reports for management.
u. Ensure that all processing documents, both electronic and hard copies are filled out and filed.
v. Provide government liaison in the areas of: incorporation, changing to company status, clarification of fiscal requirements, importation of machinery and other supplies.
w. Identify resources to support your accounting team and other Black Buffalo International staff with training as requested by management.
x. Be responsible for handling all Companies’ business documents such as business registration documents, leasehold agreements etc.
y. Clarify importation requirements for equipment and machinery and obtain government approval and waivers on import duty when necessary.
z. Providing financial analysis.
aa. Set-up departmental budgets and review spending to verify that spending is in line with those budgets.
bb. Work with the various departments, and the management team in making long term forecasts.
cc. Analyzing departmental spending and performance making recommendations for improved efficiency and cost cutting.
dd. Working with all departments and the management team to assist in making financial decisions.
ee. Take the lead in all audit projects.
ff. Advise management on key financial and tax related issues
gg. Support the Finance Department in ensuring compliance to tax and other public regulations
hh. Support finance unit in the development and implementation of effective internal control systems
ii. Support the planning process and with your full involvement of the annual external auditing process of BBI and other “related” companies.
jj. You will draft budgets for grant project and provide financial reports on such grants during the implementation phase.
kk. Conduct any other duties as specified by the General manager, the Founder/CEO, and other Senior Managers of the Company, each as appropriate
