Job Purpose
The Facility & Site Services Supervisor (FSSS) is responsible for coordinating and supervising accommodation services, office management, mess hall and kitchen operations, warehouse activities, and management of fleet support. The role ensures that all facilities and support services are delivered safely, efficiently, hygienically, and in line with company standards, contractor obligations, and operational requirements.
Primary Duties & Responsibilities
1. Accommodation Management
Supervise camp accommodation allocation, check-in and check-out processes, room occupancy, resident records, and bed-space availability.
Ensure rooms, washrooms, common areas, and residential facilities are clean, hygienic, safe, and fit for occupancy.
Monitor housekeeping and maintenance contractors and report non-compliance, service failures, and outstanding corrective actions.
Manage accommodation-related complaints, room defects, consumable distribution, occupancy reports, and resident service requests.
Maintain accurate accommodation records, including vacant rooms, occupied rooms, available beds, check-ins, check-outs, and resident movement.
2. Office Management
Ensure offices, meeting rooms, reception areas, common spaces, and support facilities are clean, functional, stocked, and professionally maintained.
Coordinate office cleaning, consumable replenishment, furniture requirements, hygiene standards, and minor maintenance follow-up.
Conduct routine inspections and ensure service providers meet expected standards.
Maintain office service records, inspection reports, consumable records, and outstanding issue trackers.
Support preparation of offices and meeting areas for management visits, events, audits, and stakeholder engagements.
3. Mess Hall and Kitchen Services
Monitor food-service contractors to ensure meals are available, hygienic, nutritious, properly presented, and served on time.
Supervise meal service standards, queue management, customer service, cleanliness, meal quantities, portion control, and complaint handling.
Ensure meal service arrangements meet the needs of normal shifts, night shifts, late arrivals, and approved special requirements.
Monitor kitchen hygiene, food storage, food safety records, cleaning schedules, pest control, waste management, and compliance with food-service procedures.
Review contractor performance, meal counts, food-quality complaints, service reports, and monthly invoices.
4. Warehouse Operations
Supervise warehouse and store operations supporting kitchen and camp services.
Ensure proper receipt, inspection, storage, issuance, stock control, stock counts, expiry monitoring, and FIFO/FEFO practices.
Maintain accurate stock records, bin cards, stock requisitions, delivery records, and inventory reports.
Monitor food, beverages, kitchen consumables, and operational supplies to prevent loss, damage, expiry, stock-out, or overstocking.
Investigate stock variances and ensure all warehouse issues are reported and resolved promptly.
5. Administrative Fleet Management
Support fleet administration, including vehicle scheduling, trip planning, driver deployment, route coordination, and fleet documentation.
Monitor vehicle availability, servicing schedules, insurance, roadworthiness, maintenance status, mileage, fuel consumption, and breakdown reports.
Maintain fleet records, including trip sheets, vehicle inspection forms, driver attendance, fuel records, maintenance requests, and repair follow-up.
Coordinate with the Chief Driver and relevant departments to ensure transport requirements are met efficiently.
Support fuel and water bowser administration, including approved request checks, delivery schedules, record reconciliation, and variance reporting.
6. Contractor Management and Compliance
Monitor contractors providing housekeeping, maintenance, catering, kitchen, warehouse, landscaping, and support services.
Conduct routine inspections, issue corrective actions, track completion, and escalate unresolved non-compliance.
Ensure contractor services are delivered in accordance with approved work orders, contracts, service-level requirements, company policies, and safety standards.
Participate in contractor performance reviews and provide service-performance reports to management.
7. Policy Development and Continuous Improvement
Develop, review, implement, and monitor policies, procedures, checklists, and service standards for accommodation, office services, catering, warehouse, and fleet administration.
Identify service gaps, recurring complaints, operational risks, and cost-saving opportunities.
Recommend practical improvements to improve hygiene, customer service, cost control, contractor performance, and operational efficiency.
Conduct staff and contractor briefings on new or revised procedures and ensure proper implementation.
8. Reporting and Administration
Prepare weekly and monthly reports on accommodation occupancy, office services, mess hall performance, warehouse status, contractor compliance, and fleet administration.
Maintain accurate records, trackers, inspection reports, complaint registers, invoices, stock reports, and action logs.
Escalate urgent issues relating to safety, hygiene, accommodation, food service, vehicle availability, contractor performance, or resident welfare.
Perform any other duties assigned by the FSS senior supervisor & HOD.
Key Performance Indicators
Accommodation occupancy, room availability, and complaint closure rate.
Housekeeping, office, and hygiene inspection compliance.
Mess hall service quality, food hygiene, customer satisfaction, and meal availability.
Warehouse stock accuracy, expiry control, stock variance, and stock-out prevention.
Fleet availability, trip-record accuracy, vehicle maintenance follow-up, and fuel-record reconciliation.
Contractor performance, corrective-action closure, and service-level compliance.
Timely reporting, policy development, and implementation of improvement initiatives.
Qualifications, Experience and Competencies
Minimum qualification (s)
Diploma or Degree in Facilities Management, Hospitality Management, Business Administration, Logistics, Engineering, or a related field.
Experience (Minimum)
At least 3 years of experience in camp management, hospitality, facilities, services, catering operations, warehouse operations, and or fleet management.
Knowledge (In-depth)
Good knowledge of hygiene standards, customer service, inventory control, basic fleet coordination, and contractor compliance.
Skills
Strong leadership, contractor-management, communication, reporting, and problem-solving skills.
Ability to manage multiple operational functions in a fast-paced mining or industrial environment.
Proficiency in Microsoft Excel, reporting tools, and administrative record management.
