Role Profile Accounts Payable Analyst (Domestic s International)

Function/Department: Finance

Location: Achimota

Reports To: Accounts Payable Manager

Job Level/Grade: L6A


Purpose of the Role

To ensure accurate and timely processing, verification, and reconciliation of both local and international supplier invoices. The role supports effective financial operations by maintaining strong relationships with suppliers, collaborating with internal teams, and ensuring proper documentation and compliance with

accounting standards. It also contributes to accurate month-end and year-end closings, supports audit requirements, and facilitates smooth payment processes.


Key Accountabilities

  1. Verify and process supplier invoices for goods, services, and expenses, ensuring accuracy and completeness.
  2. Reconcile supplier accounts and align balances for monthly and annual financial reporting.
  3. Prepare accounting entries, including import-related expense allocations and support audit processes.
  4.  Manage invoice workflows to ensure timely validation and approvals.
  5. Handle supplier communication, follow up on reminders, and resolve disputes.
  6. Coordinate payments and collaborate with Procurement, Accounting, and Controlling teams for smooth operations.


Key Requirements Qualifications, Experience, Skills etc.

  1. A bachelor’s degree in Accounting, Finance, Business Administration or a closely related field
  2. Minimum 3 years of experience in accounts payable or related financial roles.
  3. Strong understanding of accounts payable principles and procedures.
  4. Excellent communication and interpersonal skills.
  5. Ability to prioritize tasks and manage multiple deadlines.
  6. High level of accuracy and attention to detail.
  7. Proficiency in accounting software, Microsoft Excel, and other relevant tools
  8.  ICAG/ACCA qualification is a plus.

Customers- Internal & external 
Create and maintain good relationships with vendors/suppliers, Negotiate the  best deal for pricing and supply contracts. Ensure that the products and  supplies are high quality. Co-ordination with Clearing Team for import  shipments.

Sensitivity & Scenario 
Ensure that the products and supplies are high quality for all procurement items. Maintain and update list of suppliers and their qualifications, delivery times, and potential future development.

Stores
Create and maintain inventory of all incoming and current supplies and 
Maintain records of purchases, pricing, and other important data.

ERP
Effective utilisation of ERP to analyse purchases/Vendors parameters.
Learning & Development Working with team members and Procurement Head to complete duties as 
needed.

Education: 
Min: University Graduate 
Ideal: With Certification in Supply Chain/Procurement 
Legal: (e.g. Driver license): Driving License/National ID

Training: Min: 1-month on job

Experience:

Min: 5-10 years

Activa International Insurance is seeking a highly motivated Retail Channel Development Manager to lead the recruitment, development, and performance management of a robust network of retail insurance agents across Ghana.


Key Responsibilities
  1. 1. Agent Recruitment & Onboarding
  2. Develop and execute a plan to recruit qualified retail agents across targeted markets.
  3. Conduct screening, selection, and onboarding of agents with a focus on professionalism and selling ability.
  4. Deploy agent-led activations in high-footfall retail locations such as markets, fuel stations, and transport terminals to maximise visibility and customer engagement.

2. Channel Development & Management
  1. Build a strong retail agent network that aligns with business growth targets.
  2. Regularly monitor agent performance and productivity; implement strategies to increase effectiveness.
  3. Identify new retail channel opportunities and lead market activation efforts.
  4. Ensure agents have adequate sales tools, marketing materials, and brand support.

3. Training & Capability Building
  1. Work with the CSCO to develop a practical, product-based onboarding curriculum.
  2. Facilitate regular refresher training on product knowledge, customer engagement, and compliance.

4. Performance Management & Reporting
  1. Track KPIs and key metrics: number of active agents, policies sold, revenue per agent, customer satisfaction.
  2. Implement recognition, incentives, and reward programs to drive performance.
  3. Provide regular reports and insights to leadership on field progress and emerging issues.

5. Compliance & Regulatory Responsibilities
  1. Ensure all field sales activities are conducted in line with Activa’s internal policies and ethical standards.
  2. Monitor agents to ensure compliance with National Insurance Commission (NIC) regulations, including licensing and documentation.
  3. Report suspicious activities or potential misconduct in line with compliance protocols.
  4. Ensure proper data protection and confidentiality in the collection and management of client information.
  5. Conduct periodic audits and spot checks to verify agent conduct and compliance in the field.
  6. Promote a strong culture of integrity, transparency, and accountability across all retail channels.

Key Requirements
  1. University degree in Business, Marketing, Economics, or related field.
  2. 5+ years’ experience in a similar role, particularly in telecommunications, FMCG, financial services, or agent-based distribution.
  3. Strong leadership, team development, and interpersonal skills.
  4. Field sales or grassroots market activation experience is a strong advantage.
  5. Excellent understanding of Ghana’s mass retail environment and customer behavior.
